Agreement to Terms

By reserving your spot and submitting payment for any Queer Connect Travel trip or retreat, you agree to the following Terms & Conditions. These terms are legally binding and govern your participation in our programs.

Payment Terms

• The full trip or retreat price varies by accommodation type and is outlined at the time of booking.

• A non-refundable deposit of $1,000 USD (or the stated deposit amount for your specific trip) is required to reserve your spot.

• Remaining balance is due by the deadline set at time of registration (or through a structured installment plan).

• We accept all major debit/credit cards via Stripe (excluding American Express).

• For certain trips, we also offer 4-installment payment plans through Klarna, subject to approval by the platform.

Cancellation & Refund Policy

• $1,000 of your booking (or the stated deposit amount) is always non-refundable.

• Refund eligibility depends on the cancellation timeline for each specific trip, which will be clearly listed on the trip page.

• In some cases, partial refunds may be issued at Queer Connect’s discretion.

• After the stated refund deadline, no refunds will be issued.

• You may transfer your spot to another approved guest up to the transfer deadline for your trip.

Trip Minimum Requirement & Confirmation Timeline

• Each trip requires a minimum number of travelers to operate. The specific minimum for your departure is listed on the individual trip page.

• Queer Connect will confirm whether the trip minimum has been met approximately 2–3 months before departure. The exact deadline will always be displayed on the trip page.

• Travelers will be notified by email from hello@queer-connect.com once a trip is confirmed or if it does not confirm.

• If the minimum is not met, you will receive a full refund of all payments made to Queer Connect, or you may choose to transfer to another trip (subject to availability).

• Please do not book flights until your trip has been confirmed. If you choose to book earlier, you must use fully flexible or refundable fares. Queer Connect is not responsible for non-refundable airfare, visas, insurance, or other third-party expenses.

Travel & Insurance

• Airfare is not included in your booking.

• We highly recommend travel insurance for trip protection, illness, and unexpected cancellation.

• You may purchase coverage via our official partners or your preferred provider.

Health & Accessibility

• You are physically and mentally fit to participate in all activities you choose to join.

• You understand that some excursions involve walking, stairs, and outdoor terrain.

• You will disclose any relevant medical conditions or dietary needs in advance.

Liability Waiver

• Queer Connect and its organizers are not responsible for injury, loss, or damages during the trip or while traveling to/from the destination.

• We are not responsible for delays, cancellations, or changes to third-party services.

• We are not responsible for illness or medical issues that arise before, during, or after the trip.

• We are not responsible for loss of personal items, theft, or force majeure events (see Section 9).

• Participants attend and engage at their own risk.

Code of Conduct

• Respect all participants, hosts, and local communities.

• Refrain from discriminatory, aggressive, or disruptive behavior.

• Engage in shared spaces with kindness, consent, and awareness.

• Violation of this code may result in removal from the trip without refund.

Media Release

• By participating, you consent to being photographed and/or filmed during the trip.

• Queer Connect may use this content for marketing and storytelling purposes.

• If you prefer not to appear in media, please let us know in writing before your trip begins.

Force Majeure

• Queer Connect is not liable for failure to perform due to events beyond our control, including but not limited to pandemics, natural disasters, political unrest, government travel restrictions, or civil disturbances.

• In such cases, we will make every effort to reschedule or offer credit toward a future trip.

Governing Law

• This agreement is governed by and construed in accordance with the laws of the State of Arizona, United States.

• Any disputes shall be resolved under Arizona jurisdiction.
